Managing collaboration access

The default type of access permission for a shared workspace is Private. You can manage who has permission to a workspace by changing the type of access.

Types of access

There are two types of access, Private and Public.

Type of access Description
Private The default access is Private. Only the creator of the workspace has access to the workspace.
Public There are three types of Public access:
  • Viewer. Everyone can view all of the items in the workspace, but can't Edit the items.
  • Editor. Everyone can perform all actions on items in the workspace, except Delete.
  • Restricted Viewer. Everyone can view only the published items in the workspace.

Differences between Owner and Creator

When you create a shared workspace, you are both the Owner and Creator of that workspace.

The following table explains the differences between Owner and Creator:

Designation Description
Owner
  • Owner is a designation assigned to the Creator of a workspace and cannot be reassigned.
  • Owns the shared workspace.
  • Owns all of the modules in the workspace, even if they did not create the modules.
  • Can perform all actions, including delete, on the items in a workspace, even if those items were created by other user.
  • Can export and publish items in a module, such as searches and functions, so that those items can be imported into other modules.
  • Can delete the workspace if no items in the workspace have been published.
Creator
  • Modules created inside a workspace are owned by the Owner of the workspace, not the Creator of the modules.
  • Searches, functions, and data types created inside a module are owned by the Owner of the workspace, not the Creator of those items.
  • The actions the Creator can perform depend on their access: Viewer, Editor, Restricted Viewer.
  • Can't export and publish items in a module, such as searches, functions, and data types.

Changing workspace access permissions

The owner of a shared workspace can always change the access permissions for the workspaces that they have created.

In addition, if a workspace permission is set Public with Edit access, any user can change the access permissions for that workspace.

To change the access permissions for a workspace:

  1. From the Shared workspaces page, select the workspace that you want to change. Information about that workspace, such as the current type of access and when the workspace was last updated, appears on the screen.
  2. Select Manage access.
  3. Select the new access type for the workspace.
  4. Select Share.
